1. Confirmation Conditions
1.1. To confirm your booking, we require:
(i) receipt of the completed Booking Form;
(ii) receipt of the signed Terms and Conditions;
(iii) a deposit of 30%. You will be sent an invoice for the deposit once we have received the completed Booking Contract; and
(iv) payment of the final balance no later than 14 days prior to the event. You will be sent an invoice outlining the remaining amount required.
1.2. All payment terms are within seven days of the invoice date. Failure to make payment may result in your booking being cancelled.
2. Changes and Cancellations
2.2. Any requirement changes must be made at least 14 days prior to the function date.
2.3. Cancellations must be made at least:
(i) 30 days prior to the event date to be eligible for a 100% deposit refund.
(ii) three weeks prior to the event date to be eligible for a 50% deposit refund.
2.4. Cancellations made within 14 days of the event date will not be eligible for a deposit refund and will also incur 100% of the cost of the original booking.
3. Technical Requirements
3.1. It is the responsibility of the hirer to ensure:
(i) the provision of at least one 10amp power outlet within 10 metres of our set
up point to be dedicated purely for V.I.P Lane equipment;
(ii) adequate time is allowed for bump in and bump out of equipment. A
minimum of three hours is required prior to the function start time and a
further one hour once the function has finished;
(iii) the set up point is under cover and in a position where there is no chance of
any equipment being damaged by the weather; and
(iv) adequate floor space is allocated for the set up of all required equipment.
Your space requirements will be discussed with you personally as space
requirements can be altered to suit your venue.
(v) Minimum Photobooth requirements : 3m x 3m
(vi) Minimum Stylist Lounge requirements : 3m x 3m
(vii) Minimum VIP Lane (Photobooth + Stylist Lounge) requirements : 5.5m x 3m
3.2. V.I.P Lane reserves the right to refuse to commence any event, prior to the start, should there be:
(i) any damage caused to our equipment by an inadequate power supply or
power interruption.
(ii) a risk of the equipment being damaged by weather.
(iii) insufficient floor space which would not allow the equipment to be assembled safely.
4. Liability
4.1. V.I.P Lane will not be held liable for non-fulfilment of this contract as a result of
unreasonable requests and directions made by venue Management. In all instances,
every effort will be made by V.I.P Lane staff to appease the demands of venue
Management.
4.2. The hirer is responsible for, and will be charged for, any damage to V.I.P Lane
equipment caused by:
(i) any person(s) at your event.
(ii) an inadequate power supply or power interruption.
(iii) weather.
You will be advised of the damage as soon as it is caused and notified of the repair
cost as soon as possible.
4.3. V.I.P Lane does not tolerate violent, aggressive or abusive behaviour under any
circumstances. We reserve the right to terminate our services at any time if we feel
our personal safety is under threat. You will be advised if any issues such as this arise
during your event.
5. Client Consent
5.1 The client consents to V.I.P Lane using any photos taken during the event for our
own promotional purposes.
6. Additional Charges
6.1 An additional load in fee of $100 may be applicable for venues which require a
substantially longer load in. Ie. Venues located upstairs with no lift or disabled access.
